Guidance note 04

Russia business visa invitation letter

A business invitation is issued by a Russian legal entity, not by a tour operator, and it exists in several formats. It takes working days rather than minutes, because a company and often a state authority stand behind it.

Section 1The three formats you will be offered

Business visa support arrives as an original letter on company letterhead, as an electronic invitation issued through the migration authorities, or as a TELEX: a reference number transmitted directly from the ministry to a named consulate.

With a TELEX you present yourself at the named consulate and quote the number. Because the invitation was sent to one specific post, you cannot change your mind and apply somewhere else without a new transmission.

FormatHow it reaches youBest for
Company letterheadScan or courier from the inviting companyShort single or double entry business trips
Migration authority invitationElectronic document with a barcodeLonger stays and multiple entries
TELEXNothing physical; a number sent to the consulatePosts that prefer direct confirmation

Section 2What a business invitation is not

A tourist voucher with the word business written on it is not a business invitation, and neither is a letter from your own employer at home. The document must come from the Russian side and name the inviting entity.

Applicants sometimes attach a contract, a conference registration or a partner's email as though these were visa support. They may help as supporting evidence, but the consulate still looks for the invitation itself.

Section 3Realistic timelines

Expect working days to several weeks, depending on the format and the length of visa requested. A one-year multiple-entry business invitation takes materially longer than a single-entry letter, because it passes through more approvals.

Requested visaInvitation formatTypical lead time
Single entry, short tripCompany letterheadA few working days
Double or 90-dayLetterhead or migration invitationOne to two weeks
Multiple entry, up to one yearMigration authority invitationTwo to three weeks or more

Section 4Information the inviting company must supply

Beyond your passport data, a business invitation needs details of the Russian entity and the purpose of travel, which is why it cannot be produced instantly like a tourist voucher.

  • Full legal name and registration details of the inviting company
  • Purpose of the visit, stated in the categories the authorities use
  • Cities to be visited and the requested number of entries
  • The consulate where you intend to apply, for TELEX delivery
  • Your passport data, matching the bio page exactly

Important

An invitation letter is a supporting document. It does not guarantee a visa: consular officers decide every application.

Questions

What is a TELEX invitation?

It is a confirmation number transmitted by the Russian ministry directly to a specific consulate. You receive no paper document; you quote the number when you apply at that named post.

Can I use a business invitation for tourism?

The category on the invitation should match the visa you apply for. Applying for a tourist visa with business support invites questions and delay.

Do I need an existing Russian partner company?

For a genuine business invitation, a Russian legal entity must invite you. Services that arrange business support work with accredited companies to do this.

How long can I stay on a business visa?

Longer than on a tourist visa, commonly up to 90 days per entry with limits on total days within a rolling period. The exact terms are printed on the visa.

Is a business invitation more likely to be accepted?

No. It is a different category, not a stronger one. The consulate still assesses the whole application.
