Russia invitation letter for a visa
A Russia invitation letter is an official document from a registered Russian host confirming that you are expected on stated dates. Consulates will not process a tourist or business visa application without it. It is not the visa, and it does not by itself allow entry.
Section 1What a Russia invitation letter is
An invitation letter, also called visa support or a letter of invitation (LOI), is a document issued by a Russian organisation registered for that purpose. It names the traveller, the travel dates, the purpose of the trip and the host, and it carries a reference number the consulate can trace.
The Russian terms you will meet are приглашение (invitation) and подтверждение о приёме (confirmation of reception). English-language consular guidance and travel forums usually say visa support letter. All of these point to the same paperwork.
The invitation belongs to the application stage only. Once the visa is stamped into your passport, border control looks at the visa, not at the letter. Keep a copy anyway until you have entered the country.
Section 2Which document you get for each purpose of travel
Tourism uses a two-part tourist confirmation and voucher. Business travel uses a company or migration-authority invitation, often delivered as a TELEX number sent directly to the consulate. Private visits use an invitation filed by a resident host with the migration office.
Choosing the wrong document is the most expensive mistake in this process, because the consulate compares the invitation type against the visa category you ticked on the application form. A tourist voucher filed for a business visa is refused on the spot.

Section 3What the tourist invitation contains
A tourist invitation is one A4 page with two halves: on the left the confirmation that a registered operator will receive you, on the right the voucher with your itinerary. Both carry your passport details, the travel window, the operator's registry number and a unique confirmation number.
- Full name exactly as printed in the machine-readable zone of your passport
- Passport number, date of birth, citizenship
- Entry and exit dates, and the number of entries requested
- Cities you intend to visit and the accommodation named by the operator
- Host organisation, its legal address and its federal registry (reference) number
- A unique confirmation number, plus stamp and signature
Section 4Who may legally issue an invitation
Only entities on an official list may issue visa support: tour operators entered in the federal register for tourist invitations, companies accredited through the migration authorities for business invitations, and accredited institutions for study. A private person may invite only through the migration office, not by writing a letter.
This is why a letter written by a friend in Moscow, however well drafted, is not accepted for a tourist visa. The consulate checks the issuing organisation against a registry, not the wording of the letter.
Hotels sit in a grey zone. Some large hotels hold operator status and can issue support for guests; most cannot, and the ones that do usually charge more than a specialised operator and tie the document to a paid, non-refundable booking.
Section 5What is not an invitation letter
A booking confirmation, an air ticket, travel insurance, a letter from your own employer at home and a hotel reservation from an online travel site are not invitation letters. None of them carries a Russian registry number, and consulates reject applications that substitute them for visa support.

Section 6Where the invitation data goes on the application form
The electronic application asks whether visa support has been issued and then requests four fields taken from the letter. Copy them character for character; a single transposed digit in the confirmation number sends the file back before an officer looks at anything else.

Section 7How long the invitation stays usable
An invitation is tied to the travel window printed on it, so it stays usable while those dates still match your plans and your passport remains valid. If your trip moves, the letter is reissued rather than corrected by hand.
Never amend a printed invitation with a pen. A manual correction voids the document, and the consulate treats an altered letter far more seriously than a wrong date honestly declared.
Important
An invitation letter is a supporting document. It does not guarantee a visa: consular officers decide every application.
Questions
Do I need an invitation letter to visit Russia?
For a consular tourist or business visa, yes. For the unified electronic visa, no invitation is uploaded at all. Nationals who cannot use the e-visa, including United States, United Kingdom, Canadian, Australian and New Zealand passport holders, have no alternative to the invitation route.
Is the invitation the same as the visa?
No. The invitation is the host document you attach to the application. The visa is the decision of the consulate, printed into your passport. An invitation guarantees nothing about the outcome.
Will a PDF be accepted, or do I need the original?
Electronic tourist invitations have been standard practice at Russian posts since 2012. Print the PDF for the appointment. Some business categories still travel as an original or as a TELEX sent directly to the consulate.
Can one invitation cover my whole family?
No. Each passport needs its own invitation, because the document carries personal data and a single confirmation number.
Can I stay in a different hotel from the one named?
In practice yes for tourist invitations, as long as your passport data and the travel window still match. The named accommodation is a formality of the voucher, not a booking contract.
What happens to the invitation if my visa is refused?
The letter has already done its job by being issued. Consular decisions are separate, and the invitation fee is not a deposit against the outcome. A still-valid invitation can usually be reused for a fresh application if the dates fit.
